1. Service Area & Travel

Seattle-area delivery included with every booking. Delivery within 15 miles is included. Travel fees: 16–25 miles $25; 26–50 miles $50; 51–75 miles $75; 76–100 miles $125; 100+ miles by custom quote, agreed upon in advance.

2. Services & Pricing

Our services include:

All prices are subject to change. Pricing is confirmed upon booking and outlined in your invoice.

3. Booking & Payment

• A non-refundable deposit of 50% is required to secure your reservation.
• The remaining balance is due 10 days before your event.
• Payment is accepted via approved electronic methods (e.g., credit card, Venmo, PayPal, or invoice-based ACH).
• Bookings are confirmed only upon receipt of the deposit.

4. Cancellations & Rescheduling

• Cancellations more than 30 days before the event: deposit retained, no further fees.
• Cancellations less than 30 days before the event: full payment may be due, depending on proximity to event and custom work completed.
• Rescheduling is permitted based on availability and must be requested at least 14 days in advance.

5. Setup, Breakdown & Access

• We handle all setup and breakdown of rental items.
• Please ensure clear, safe access to your venue during scheduled delivery and pickup times.
• Delays caused by venue access may result in additional fees.

6. Damage, Loss & Client Responsibility

• Clients are responsible for the rental items during the event.
• Damage beyond normal wear or any loss of equipment will be billed at replacement cost.
• Props and decor must not be removed from the booth or champagne wall setup.

7. Liability & Safety

• Gather with Hart is not liable for any injuries, accidents, or property damage during the use of rentals.
• Clients assume responsibility for informing guests of appropriate use.

8. Use of Photos & Recordings

• All recordings made using the Memory Booth are delivered digitally to the client.
• With your consent, Gather with Hart may use select audio clips or event photos for portfolio or marketing purposes.
• You may opt out of media sharing by notifying us in writing.

9. Governing Law

These Terms & Conditions are governed by the laws of the State of Washington. Any disputes will be resolved in a court of competent jurisdiction within Washington State.

10. Updates to Terms

Gather with Hart reserves the right to update these Terms & Conditions. We will notify clients via email or our website if changes are made.

When you interact with Gather with Hart (e.g., booking a rental, submitting a contact form, or leaving a voicemail in our Memory Booth), we may collect the following information:

• Event date, type, and location
• Photos, voice recordings, and messages captured via our Memory Booth
• Payment information (processed through third-party providers)
• Website usage data (via cookies and analytics tools)

2. How We Use Your Information

We use your information to:

• Process bookings and send confirmations
• Deliver and coordinate your event rental services
• Communicate with you about your event
• Improve our services and offerings
• Send occasional marketing updates (only if you opt in)

3. Data Sharing

We do not sell your personal data. We may share limited information with trusted third-party services only as needed to support our business operations, such as:

• Payment processors (e.g., Stripe, Square)
• Email service providers (e.g., Mailchimp, Gmail)
• Website analytics tools (e.g., Google Analytics)
• File hosting tools (e.g., Google Drive or Dropbox)

These providers are obligated to safeguard your data.

4. Data Retention

We retain personal information and recordings for up to 12 months after your event, unless otherwise requested. Some photos or audio clips may be archived longer with your explicit permission for marketing or portfolio purposes.

5. Your Rights

You have the right to:

• Request access to the data we hold about you
• Ask us to correct or delete your personal information
• Opt out of marketing communications at any time
• Request removal of recordings or photos after your event
